Filmmaker Hospitality Manager

Description

Napa Valley Film Festival Festival (NVFF) Hospitality Manager – September through November 2014
(Seasonal Contract Position)
Reports to Festival Founders/Directors and Program Director

o Works very closely with Festival Directors, Marketing Director, Transportation Team, VIP Concierge Managers and Teams
• Extremely challenging and ultimately rewarding job
• Fantastic opportunity to work with and get to know film directors, producers, writers and actors from all over the world

Job Duties/Responsibilities

• Liaison with Napa Valley lodging partners: understand full NVFF needs and assure sufficient supply of donated lodging
• Responsible for all logistics required to house, transport and accommodate filmmakers and other festival guests (e.g, film industry executives, media, top sponsors)
• Responsible for all filmmaker communication; understands all filmmakers’ needs
• Responsible for ALL filmmaker and celebrity itineraries
• Tracks all transportation details and any required stipends and/or reimbursements
• Keeps detailed records and utilizes NVFF tools to support efficient project execution
• Oversees the Filmmaker Lounge, including staffing and training support staff, to handle on-site check-ins and festival stay support

Requirements/Certifications

• Experienced professional business manager
• Detail oriented, extremely organized, efficient, able to multitask and work very fast in challenging environment and in sometimes stressful situations
• Energetic, positive (even when things get difficult) and flexible
• Efficient with Word, Excel, simple databases, email, google docs
• Able to handle and manage demanding publicists, VIPs and celebrities
• Able to manage outside resources, interns and volunteers
• Willing to take calls at any hour during the few weeks leading up to and through the festival

Customer Service Manager

Description

The Customer Service Manager at the Napa Valley Film Festival is a key role in overseeing and managing all customer service elements of the event on site consistent with the vision and plans put into place by the Directors of the festival and individual departments. This person will work closely with the Administrative Director to manage the office and oversee the customer service aspects in preparing for this event.

Job Duties/Responsibilities

• Work with NVFF Administrative Director to learn all aspects of Festival needs
• Create schedules for volunteers/ interns for front office coverage
• Assist with answering all Festival questions via email, phone, in person before and during the Festival
• Assist Teams in various tasks by delegating to volunteers or completing tasks
• Answer phones and process messages
• Mailing and shipping as needed
• Work with various computer software including Excel, Word, Google Docs, etc.
• Oversee ordering of office supplies including office, kitchen and restrooms
• Run or assign errands for staff as needed
• Delivery tracking- develop and oversee all deliveries of goods and products- with notification of appropriate department and storage arrangements
• Oversee inventory control of products received
• Create various documents for Teams
• Research for Teams
• Other duties as requested

Requirements/Certifications
